Introduction

Moving App User between teams is an essential admin task for managing app users on the Sanas Portal. The action becomes helpful in the following scenarios:

📔 Note: Inter Workspace movement of App users is not allowed.

  • App activation mode: Due to the nature of specific app activation modes, like auto-activation, the app users get added to the Workspace’s default Team. You can use the move app user feature to map the app users to the correct teams.

  • Internal transfers: Change the app users’ Teams if they are transferred internally to different projects.

  • Change in shifts: Change the app users’ Teams if you run Teams based on Work shifts.

This guide provides detailed instructions on moving app users between teams. You can move them in the following ways:

Before you begin

  • Access: You’ll need access on the Sanas Portal to move app users. The following roles on the Sanas Portal can take action:

    • Admin: Can move app users between any teams.

    • Supervisor: Can move app users between the teams to which they are assigned as supervisors.

Move app user (via Portal UI)

  1. Log in to the Sanas Portal with your credentials.

  2. Click Users on the navigation menu, and ensure that the App users tab is selected.

  3. Select the Team to which the app user is currently assigned.

  4. Select the check box next to the app user you want to move. Moving multiple users at once is possible.

  5. Click Move users.

  6. Select the destination Team from the Move to list.

  7. Click Move Users to confirm.

Move app users (via Bulk import)

  1. Log in to the Sanas Portal using your credentials.

  2. Click Users from the left and ensure the App users tab is selected.

  3. Click Bulk Import.

  4. Download the template copy.

    • Click Download template. This downloads an offline template copy to your computer.

  5. Prepare the template file.

    • Open the downloaded template copy.

    • Enter the intended app users’ User IDs and Names in the respective columns.

    • Enter the destination Team name for each user.

      ℹ️ Important: Ensure you enter the Team name correctly. If you enter a Team name that currently doesn’t exist in the Workspace, Sanas will creates a new Team with that name, and assign the app users to it.

    • Save the prepared template file.

  6. Upload the template.

    • Return to the Sanas Portal, click Select Excel file, and upload your prepared template file.

    • Click Review upload.

  7. Review actions.

    • Errors: If you encounter upload errors, review the summary or click Download error report. Take the corrective actions accordingly and re-upload the file.

    • Success: Review the summary or click 'Download report' if the template uploads successfully.

  8. Click Confirm upload to save the changes.
