Introduction

Signing in to the Sanas app has been made easier and straightforward. At the end of this article, you will learn the different login authentication modes, proper ways to setup and configure your Sanas app, and best practices to effectively leverage the variety of products and features that Sanas offers.

  1. Do you have your login credentials with you?

    This is only applicable to users who will login through the following authentication modes:

Note: If you did not receive any of these, please reach out to your supervisor or account admins and confirm your login authentication modes, and/or if you need any of the above login credentials to proceed.

  1. Is your wired USB headset connected to your computer?

Note: For the most reliable experience, use a wired USB headset with a boom microphone and no onboard audio processing. This combination gives Sanas a clean, consistent input signal to work with. You can still use other headsets, including Bluetooth models or headsets with a shorter on-device microphone, but results may vary. The cleaner the input signal, the better Sanas performs.

Valuable Tip! Have a stable internet connection. And for domain connections, your computer must be connected to your organization's domain, and you must be logged into your user profile (required for Auto Activation authentication mode).


Logging In to the Sanas App

  1. Launch the Sanas app on your computer.

  2. Select the authentication mode available on the login page.

  1. Enter your Account ID and User ID in their respective fields.

  2. Select Activate Key.

Don't have your credentials? Contact your account admin to request your Account ID and User ID.

Auto Activation authenticates you automatically when the following requirements are met:

  • Your computer is connected to your organization's domain.

  • You're signed in to your computer using your user profile.

  • Your computer is connected to your organization’s hostname.

  • You're signed in to your computer using your user profile.

No action required. The app authenticates automatically when you launch it.

Troubleshooting: If Auto Activation fails, confirm both requirements above are met, then relaunch the app to retry.

  1. Enter your work email address.

  2. Select Sign in.

  3. Enter the verification code sent to your email.

  1. Select the SSO option shown in the app.

  2. Follow the on-screen instructions to complete authentication.

Note: If you can't find the right authentication option or experience issues signing in, contact your account admin.


Setting Up your Sanas App

After a successful authentication, users will be directed to the home page of the Sanas app.

Note: Products and controls are managed by your account admins through the Sanas Portal. As a result, the products and controls available in your Sanas App may differ from those shown in the images in this guide.

First Time Using the Sanas App?

A built-in onboarding guide automatically appears the first time you log in to the Sanas App. Follow the steps and instructions provided to properly configure the app.

Select your default microphone and speaker in the app

To revisit this step, click Audio at the bottom-left part of the app.

Note: Always choose your wired USB headset as the default microphone and speaker in the app.

Turn your Accent Translation and Noise Cancellation toggles On or Off

Valuable Tip! For the best experience with the Sanas App, we recommend keeping these toggles ON at all times, unless otherwise instructed by your supervisor or account admin.

Manage your Sanas account in the Sanas portal (Account Admins only)

Note: The Sanas Portal is for Account Admins only. This step is for App Users’ reference.

Configure the audio settings of your telephony or softphone (or conferencing apps)

Important Note! Disable or minimize any built-in speech improvement or noise suppression features in your conferencing app (such as Zoom's "Background noise removal" or Teams' "Noise suppression"). Leaving these enabled can interfere with Sanas and may result in degraded or interrupted audio performance.

You can always go back to this step should you wish to verify your audio settings on your telephony, softphone, or conferencing apps.

As a best practice before taking phone calls, confirm that your softphone or conferencing application is using the Sanas audio devices. The audio devices help Sanas to redirect your audio streams (incoming & outgoing) through the Sanas app to synthesize your speech.

Here are the quick verifications:

  1. Launch your used softphone or conferencing application. Sanas works with softphones running locally or in a virtual desktop environment.

  2. Go to the audio settings in your softphone.

  3. Confirm the audio drivers are set correctly:

Note: Sanas audio devices are common across all Sanas products. You don't need to change these settings when switching between products.

Personalize your voice profile

The Sanas App will automatically prompt you to personalize your voice profile after you click Done on the last step above.

  1. Confirm that your wired USB headset is selected.

  2. Click Start and read the script aloud.

  3. Hit Stop once you are done recording.

  4. If you are satisfied with the experience, click Continue to Sanas. Otherwise you can always try again.

  5. A Sanas Personalized label will appear under Accent Translation as an indicator that this step is complete.

Note: You can re-personalize your voice profile anytime in the app. To do so, just follow these next steps.

  1. From the Sanas App, click More.

  2. Select About.

  3. At the bottom part, click Re-personalize Voice.

  4. You will be prompted to repeat the Steps 1 to 4 after that.

Configuring Sanas App Controls

Now, let’s setup the controls for the Sanas product you want to use, as described below:

By default, the toggles in the Accent Translation panel are ON, unless your account admins have disabled them in the Sanas Portal.

  1. Select your Voice Type, either Masculine or Feminine. You can change this at any time.

  2. Keep the toggle of your Accent Translation for outgoing audio ON. This is to ensure that you are utilizing the product during your calls.

  3. The Noise Cancellation toggle for outgoing audio is linked to the Accent Translation toggle and can only be disabled when Accent Translation is turned off. Keep it ON for a noise-free interaction.

  4. Click the Hear Your Voice tab to hear how you sound with Accent Translation enabled. This is a great way to practice before taking calls and identify potential audio issues that may affect your call experience.

  5. Keep the Accent Translation for incoming audio toggle ON to ensure Accent Translation is active during your calls.

  6. The Noise Cancellation for incoming audio toggle is linked to Accent Translation and can only be disabled when Accent Translation is turned off. Keep it ON for a clearer, noise-free call experience.

By default, the toggles in the Speech Enhancement panel are ON, unless your account admins have disabled them in the Sanas Portal.

  1. Keep the toggle of your Speech Enhancement for outgoing audio ON. This enhances your voice so your recipient hears you clearly.

  2. Click the Hear Your Voice tab to hear how you sound with Speech Enhancement enabled. This is a great way to practice before taking calls and identify potential audio issues that may affect your call experience.

  3. Keep the Speech Enhancement for incoming audio toggle ON. This enhances your recipient’s voice so you hear them clearly.

The Insights panel on the right side of the Sanas app is where Speech Intelligence comes into play from an agent’s perspective. Speech Intelligence is a standalone product, independent of the other Sanas products you may be using, although the Insights panel is directly visible to users leveraging Accent Translation and Speech Enhancement.

For first-time users, the Insights panel is blank until call data is available. Once you complete calls, it displays post-call analytics for your five most recent calls.

By default, the Language Translation toggle is OFF, unless your account admins have enabled them in the Sanas Portal.

  1. To start using this Language Translation, turn the toggle ON.

  2. They Speak is for the language that your recipient speaks. Click the dropdown menu to select that language. This is usually pre-selected by your account admin in the Sanas portal.

  3. I Speak is for the language you are speaking. Click the dropdown menu and select that language. This is also typically pre-selected by your account admin in the Sanas Portal.

  4. The Show Caption toggle appears only when Language Translation is ON and is disabled by default. When enabled, it displays the Captions panel on the right, showing the caller’s and agent’s original languages along with their corresponding translations.

  5. Click the Hear Your Voice tab to hear how you sound with Language Translation enabled — you will only hear your translated speech. This is a great way to practice before taking calls and identify potential audio issues that may affect your call experience.

    Note: If Show Caption is toggled ON, your speech and its corresponding translation will be displayed in the Captions panel.


Sanas Chrome Extension

Before you begin, ensure the following are in place:

  • The Sanas Chrome Extension is installed on your Chrome browser. If not, contact your administrator.

  • Your headset is connected to your machine. Always use USB connection-based headsets for the best audio quality.

  • You have your login credentials ready, such as Account ID and User ID for users configured on User Activation Key (UAK), or work Email ID for users configured on Single Sign-On (SSO). If you do not have these credentials, contact your administrator.

Open the Sanas Chrome Extension

  1. Click the Sanas icon in the Chrome toolbar. This opens the Sanas floating widget on the edge of your browser window.

    Note: If prompted to grant microphone access, click Allow.

  2. Click the Sanas icon on the floating widget to open the authentication pop-up.

Authenticate

  1. If you are logging in through User Activation Key (UAK) mode, follow these steps:

    1. Enter your Account ID and User ID in their respective fields.

    2. Click Activate Key.

    3. On successful authentication, the Sanas Chrome Extension interface opens.

  2. If you are authenticating through Single Sign-On (SSO) mode, follow these steps:

    1. Select SSO in the login page of the Chrome extension.

    2. Enter your work Email ID and click Continue.

    3. Depending on your organization’s chosen Identity Providers (IdPs), such as Okta and Azure, your login process may require further authentication steps and proper guidance from your company IT or login admins.

    4. On successful authentication, the Sanas Chrome Extension interface opens.

Configure the Extension

  1. Click the Controls icon on the Sanas floating widget.

  2. Ensure the Sanas Toggle is enabled.

  3. Verify that your preferred Voice Profile is selected — Masculine or Feminine.

  4. Click the Audio Devices icon and select your connected headset from the drop-down menu.

Configure Audio on Browser-based Softphones

Note: We are using Google Meet web platform to demonstrate audio configuration verification in the below procedure. Configure similarly on your chosen softphone/conferencing app.

For Sanas to synthesize your audio, Google Meet must route your microphone input through the Sanas audio device. As such, we preconfigured Sanas Microphone to be set by any web-based conferencing apps and softphones as their system default microphone. This allows web-based meeting applications and softphones to automatically use Sanas without requiring users to manually select it.

To validate:

  1. Open Google Meet Web in your Chrome browser and sign in.

  2. Navigate to Settings > Audio, then Microphone. Sanas Microphone will show as System default.

    Note: If a user logs out of the Sanas Chrome Extension, the Sanas Microphone remains visible in the list of available audio devices in the web app or softphone; however, Accent Translation will no longer work. Once the user signs back in, the Sanas Microphone, along with Accent Translation are automatically restored. A tab refresh may be required before they become fully functional again.

Sanas is now active!

Your voice will be processed through the Sanas Chrome Extension for the duration of the call.

Important! Personalize your accent translated voice to sound consistently and identical. Refer to Personalize your voice profile for instructions.


Best Practices for Sanas App Users

Now that you’re ready to take calls, let’s make sure you’re set up for the best Sanas experience. This guide covers a few simple habits—from wearing your headset correctly to speaking and maintaining your setup—to help you deliver clear, natural audio on every call.

Microphone Positioning

Your headset’s position is a critical factor affecting the overall audio quality. Poor positioning may cause Sanas to miss certain parts of your speech, especially in scenarios where your pitch or volume fluctuates mid-sentence.

  1. Adjust your headset for a comfortable fit

Adjust the headband length of your headset until it feels secure and comfortable. A headset with a loose fit can shift during calls; one that's too tight causes discomfort during long sessions.

If your headset has a click-stop or locking mechanism, secure your preferred length.

  1. Position the microphone correctly

Place your microphone approximately two fingers' distance from the corner of your mouth. Use both hands when shaping the boom arm into position.

Once set, avoid adjusting the microphone during a call; moving it mid-conversation can cause audio level fluctuations.

  1. Avoid incorrect placement

Never place the microphone directly in front of your mouth, beneath your nostrils, or in contact with your lips or face. These positions cause distortion, breath noise, or inconsistent audio capture.

Voice Techniques

You don't need to modify your speaking style to get great results with Sanas. The following standard voice modulation techniques are about being consistent and clear.

  • Speak at your natural pace

Try to speak in your natural conversational speed. Speaking too fast can result in unclear audio and force your recipient to ask you to repeat yourself. Speaking unnaturally slowly can make the conversation feel disengaged. Find your natural rhythm and maintain it throughout the call.

  • Articulate clearly

Pronounce words fully and clearly and avoid mumbling or trailing off at the end of sentences. Take natural pauses between sentences to maintain a steady speech flow.

Keep in mind: Sanas enhances how your voice sounds, but it can't correct mispronunciations or grammar. Focus on using correct pronunciation and clear sentence structure during your calls. For example, pronounce "vehicle" as "vee-uh-kul," not "vy-kul."

  • Maintain a consistent volume

Speak at an adequate volume and hold that level throughout the call. Volume fluctuations make it harder for Sanas to process your audio consistently and can create an unpleasant experience for your recipient.

  • Manage your breathing

Take breaths between sentences, not in the middle of them. Avoid heavy breathing while speaking — steady, controlled breathing helps maintain a natural rhythm and prevents breath noise from being picked up by the microphone.

Do's and Don'ts

These habits will help you get the best results from Sanas, day in and day out:

Restart your computer daily. A daily restart prevents performance issues from building up over time and keeps the Sanas App running smoothly.

Avoid wrong audio sources on your softphone. Your softphone's audio sources must be set to the Sanas audio devices and not to your headset directly. The correct configuration depends on your Sanas product.

Verify your Sanas App configuration at the start of each session. Before your first call of the day, confirm that your Sanas product and its controls are enabled with the correct audio configuration.
A quick 30-second check can save you from issues mid-call.

Avoid using an external webcam microphone or built-in laptop microphone. These audio sources pick up too much ambient noise and lack the quality needed for Sanas to process your voice effectively.

Always use your USB headset as the audio input.

Disable built-in speech enhancement and noise suppression in your conferencing app. Features like Zoom's "Background noise removal" or Teams' "Noise suppression" can interfere with Sanas audio processing. Disable or minimize these settings in your softphone to let Sanas handle audio enhancement without conflicts.

Do not close the Sanas App during a live call. Closing the Sanas app (not minimizing) stops the audio processing immediately. Your call continues, but your recipient will notice the change. If you accidentally close the app, relaunch it and sign in again to resume processing.

Always use a USB-based headset. USB headsets provide the consistent, high-quality audio that Sanas needs to work accurately. Avoid analog or Bluetooth connections; they can introduce latency or audio quality issues. We recommend testing your headset periodically with a short demo call to catch any hardware issues before they affect a live call.

Avoid poor speaking habits. Avoid mumbling, mispronouncing words, using inconsistent volume, or speaking with incorrect grammar. Sanas enhances your voice — it doesn't replace clear communication skills.

Follow the voice techniques above. Speak at your natural pace, pronounce words clearly, maintain consistent volume, and manage your breathing. These small habits make a noticeable difference in how you sound to your recipients.

How to Submit a Feedback?

  1. Launch the Sanas App on your computer and sign in, if required.

  2. Select More > Feedback from the app menu.

  3. Rate your experience as Good or Bad.

  4. Select a reason from the dropdown that best describes your experience.

  5. Select Submit Feedback.
