Manage Groups

Overview

This guide provides step-by-step instructions for managing groups on the Sanas Portal. For an introduction to how groups work and best practices for structuring them, see Groups.


Before you begin

Ensure your Portal role includes Groups (Full Access). Default roles like Account Admin and Group Admin have this permission.


Create a Group

New groups inherit configuration and product access from their parent group.

  1. Log in to the Portal.

  2. In the group tree, select the parent group where you want to create the new group.

  3. Navigate to Groups & Users > Groups.

  4. Click Create Group.

  5. Enter the following:

    • Group Name — A clear, descriptive name for the group.

    • Timezone — The local timezone for this group (used for analytics and reports).Creating a new user group with specified name and timezone settings.

  6. Click Create Group.

Note: Subgroups cannot be created under the Default Group.


Find a Group ID

Group IDs are used for bulk user imports and API integrations, and finding them has been made easier.

  1. In the group tree, select the parent group of the group you want to know the ID.

  2. Navigate to Groups & Users > Groups.

  3. The Group ID (an 8-character alphanumeric code) is displayed beside their respective group names.

To view IDs for multiple groups, enable Include subgroups in the filter.


Export a Group List

For reporting and analytics purposes, portal admins can export or download the Group list within their scope or permission.

  1. From Groups & Users, select Groups.

  2. The export tab with the same label is on the right side.

  3. Export file format is currently .xlsx.


Delete a Group

Deleting a group is irreversible and only possible when the group and its subgroups (if any) have no users mapped.

  1. Move all app users out of the group (and any subgroups) before proceeding.

  2. In the group tree, select the parent group of the group you want to delete.

  3. Navigate to Groups & Users > Groups.

  4. Click the ellipsis (⋮) next to the group.

  5. Select Delete, then confirm your action.User management interface displaying groups, user counts, and delete group option.

Note: The Default Group cannot be deleted. If deletion fails, an error message will indicate the reason.


FAQ

Can I move a group to a different parent?

No. The hierarchy is fixed upon creation. To change a group's parent, create a new group in the correct location and move the users.

What happens to reports if I change the timezone?

Utilization and analytics data will be displayed according to the new timezone.

Is there a limit to subgroup depth?

No, but we recommend keeping your structure manageable for easier administration.

What are the latest UI enhancements made for a positive user experience?

Users can now freely resize the table columns to make long details, such as Group Names and User IDs readable. Plus, a sorting option of the Group Name has been made available in an ascending or descending order.
