Sanas Portal: An Overview

The Sanas Portal is a web-hosted control center built for administrators. It provides a centralized space to deploy Sanas products, manage users, monitor usage, and fine-tune app configurations for any specific group or for the entire Sanas account.

Whether you're onboarding a new team, reviewing engagement metrics, or enforcing user preferences for specific groups, Portal puts the right tools at your fingertips.

This article provides a brief overview of the pages available on the Sanas Portal. For detailed configuration steps and admin workflows, see the dedicated guides linked throughout this page.


What can you do with the Portal?

The Portal covers these key workflows:

  • Feature Management — Manage all your subscribed Sanas products under a single account. Deploy solutions to individual groups or subgroups based on your operational needs.

  • User Management — Control who can access the Sanas App and Portal. Add, move, or remove App Users and assign role-based access to admins on the Portal.

  • Usage Analytics — Track how your teams use Sanas products with detailed utilization reports. Monitor Sanas usage, login activity, and solution adoption.

  • App Preferences — Customize the end-user experience per group. Configure features, enable or disable solutions, and lock settings to maintain consistency across subgroups.

Home

The Home Page on your Sanas Portal gives you a bird's-eye view of real-time Sanas utilization across your assigned groups. It has three main components:


License Usage

  • A tabular list of your subscribed products with their corresponding number of seats and usage counts, from the account level down to your corresponding groups.

Note: This view is only available at an account level.


Metric Cards

  • Rolled into four cards - Total Users, Activated Users, Logged-In Users, and Engaged Users, they form a funnel. They narrow from all mapped users down to those actively using Sanas on a live call, so you can quickly identify where engagement drops off.

  1. Total Users

    The total number of Sanas App users added to the account or selected group. Toggle the Include Subgroups filter to include or exclude subgroup users.

    Activated

    Users whose provisioning status is set to Activated. Activated users can use the Sanas App.

    By default, users’ status is automatically set to Activated for the Groups with User Activation Key (UAK) as the app authentication mode.

    Deactivated

    Users whose provisioning status is set to Deactivated. Deactivated users can not use the Sanas App.

    Invited

    Users who have been invited. This metric applies only to the Email-Passcode app authentication mode. The invited status can be reflected as:

    • Invitation sent: The previously sent invite is active, and the user has yet to activate their Sanas app.

    • Invitation expired: The previously sent invite has expired. You’ll need to re-invite the user.

    Clicking the metric card will reveal its user activity and can be filtered to refine the analytics.

    Note: Certain App Authentication modes, such as SSO and Auto Activation, support a setup called In-Time User Provisioning. When enabled, admins do not need to add users to the Portal beforehand. Instead, users are automatically added to the Portal when they first activate the Sanas app, and their provisioning status is set to Activated.

  2. Activated Users

    The number of Sanas Application users in the account or selected group whose current provisioning status is set to Activated. Use the Include Subgroups filter to include or exclude subgroup users.

    Description

    Logged-In

    Number of users currently logged in to the Sanas App.

    Logged-Out

    Number of users currently logged out of the Sanas App.

    Never Logged In

    Number of users who have never logged in to their App even once.

    Users in never-logged-in status are counted only when UAK is configured as the app authentication mode. In groups with Email-passcode mode, users stay in the Invited status described under the Total Users card until they activate at least once.

    Clicking the metric card will reveal its user activity and can be filtered to refine the analytics (similar data points with Total Users above.)

    Note: For Groups using UAK as the App Authentication mode, use the Never Logged In metric to identify the number of app users who have never activated the Sanas app.

  3. Logged-In Users

    The number of users currently logged in to the Sanas App in the account or selected group. Toggle the Include Subgroups filter to include or exclude subgroup users.

    Engaged

    Users whose Sanas Microphone/ Sanas Audio is currently engaged. Refer to the engagement definition at the bottom of the table.

    Not Engaged

    Users whose Sanas Microphone/ Sanas Audio is not engaged. Refer to the engagement definition at the bottom of the table.

    Clicking the metric card will reveal its user activity and can be filtered to refine the analytics (similar data points with Total Users above).

    What does Microphone Engagement means? Sanas requires continuous access to the user's audio stream to perform speech synthesis. To provide this access, users must select Sanas Audio or Sanas Microphone as the audio input in their softphone settings:

    Windows — Select Sanas Audio as the softphone's audio input.

    macOS — Select Sanas Microphone as the audio input.

    An engaged microphone does not necessarily mean Sanas is actively being used. The microphone may be engaged at the softphone level while Sanas is manually disabled in the App.

  4. Engaged Users

    The number of users whose Sanas Microphone/ Sanas Audio is currently engaged at their softphone in the selected group. Toggle the Include Subgroups filter to include or exclude subgroup users.

    Accent Translation

    Number of engaged users utilizing Accent Translation.

    Noise Cancellation

    Number of engaged users utilizing Noise Cancellation.

    Speech Enhancement

    Number of engaged users utilizing the Speech Enhancement.

    Language Translation

    Number of engaged users utilizing the Language Translation.

    Disabled Sanas

    Number of users not utilizing any Sanas products at all.

    Clicking the metric card will reveal its user activity and can be filtered to refine the analytics (similar data points with Total Users above.)

    Note: These metrics reflect utilization of a specific Sanas speech AI model, not the Sanas product as a whole. Sanas products like Accent Translation use a hybrid approach that combines the Accent Translation and Noise Cancellation AI models. When a user disables AT from the App, they can continue to use the NC model independently, and their engagement shifts from the AT metric to the NC metric accordingly.


Usage Graph Trend

The Usage over Time graph displays trends in Logged-In Users and Engaged Users over a selected time period. It can show data for up to the last 180 days for custom views.

Note: The Portal retains data for up to the last 12 months (1 year).

Groups & Users

The Groups & Users page is your workspace for managing organizational structure, user access, and admin permissions. It contains up to five tabs depending upon the access level:


Groups

Use the Groups tab to view, create, or restructure your organizational hierarchy. It lists the direct subgroups under your selected group. Use the Include Subgroups filter to list all subgroups at any level of nesting. Select any listed group to navigate into it and access its subgroups. An option to export the list is also available.

Field

Description

Name

Group name.

Group ID

Unique identifier for the group.

App Users

Number of App Users added to the group.

Portal Users

Number of Portal Users assigned to the group.

Subgroups

Number of subgroups created within the group.

Shared Externally With

Number of Portal Users outside your account who were given access.

Note: The Default Group cannot contain subgroups. The Groups tab is inaccessible when the Default Group is selected in the Group Tree.

App Users

Use the App Users tab to onboard (individually or in bulk), move, or offboard the users who use the Sanas App. It lists all App Users added to the selected group. Use the Include Subgroups filter to include users from all subgroups. An option to export the list is also available.

Field

Description

Name

App User's name.

User ID

User's unique identifier. The format depends on the authentication mode configured for the group: User Activation Key (UAK) (alphanumeric string), Email-Passcode (work email), SSO (work email), or Auto-activation (computer name).

Group

The group where the user is added.

Group ID

Unique identifier for the group.

Personalize

Status indicating whether the App User has completed Sanas Personalization - Yes/No.

Last Personalize

Date and timestamp of the App User’s most recent Sanas Personalization.

Voice Profile

App User’s selected voice profile - Masculine or Feminine.

Provisioned Status

User's provisioning status — Activated, Invited, or Deactivated.

Last Modified On

Timestamp of the last modification to the user's details.

Modified By

Name of the Portal admin who made the modification.

Portal Users

Use the Portal Users tab to manage which administrators can access and operate on a given group. It lists admins who have access to the selected group. Use the Include Subgroups filter to include Portal Users from all subgroups. An option to export the list is also available.

Name

Portal User's name.

Email ID

Portal User's work email address.

Status

Provisioned status — Activated, Invited, or Deactivated.

Added On

Timestamp of when the Portal User was assigned to the group.

Added By

Name of the Portal User who made the assignment.

Roles

Assigned Portal role.

External Sharing

Use the External Sharing tab to add and manage people from other accounts who have been granted access to this account or selected group. Use the Include Subgroups filter to include external users from all subgroups.

External Portal User's name.

Email ID

External Portal User's work email address.

From Account

External Portal User’s account origin.

Roles

Assigned Portal role.

Added By

Name of the Portal User who made the assignment.


Role Management

Use the Role Management tab to define what each admin role can see and do across the Portal. Portal roles fall into two categories:

  • Default roles - System-generated roles

  • Custom roles - Admin-created roles with custom privileges.

Note: This tab is accessible only when the Sanas account (top-level node) is selected in the Group Tree.

Assigned Users

Number of Portal Users assigned to the role.

Last Modified

Timestamp of the last update to the role.

Modified By

Name of the Portal User who modified the role.

Note: Use the Manage Roles button to modify privileges on any custom roles you've created. For detailed instructions, see the Portal Roles and Permissions Management guide.

Reports

The Reports page gives you historical Sanas utilization data consolidated by day, unlike the Home page's real-time view. Reports are generated for the selected group and reviewed for a specific cadence. Meaning, setting the cadence to Monthly provides a month-wise Sanas utilization preview. You can schedule and export reports for further analysis.

Filters

  • Cadence: Choose cadence from Today, Daily, Weekly, Monthly or Custom Date to set the reporting cadence window. Use the calendar picker to select a specific date.

  • Users: View utilization data based on App User count across groups.

  • Hours: View Sanas utilization based on total hours of usage.

Actions

  • Get Reports: Display a tabular list of Sanas utilization at the user level.


All Products

Provides usage analytics of Sanas products, filterable by Users or Hours, with three sections for each view:

      Metric Card

      What does it mean?

      Logged-In Users

      Tracks the number of App Users logged in to the Sanas app within your account or selected group and duration.

      Engaged Users

      Shows the number of App Users who are logged in and actively using a Sanas product for a selected duration.

      Not Engaged Users

      Indicates the number of App Users who are logged in but are not using any Sanas products.

      Note: Click the Metric Cards to display data at a user level, similar to when selecting Get Reports tab.

    2. Usage over Time

      A graphical display of trends between Logged-In Users and Engaged Users over a selected time period. It can show data for up to the last 24 months.

    3. Engaged Users by Group

      A graphical comparison of Sanas product usage among App Users across groups within an account.

  2. Hourly View

    1. Metric Cards

      Metric Card

      What does it mean?

      Logged-In Hours

      Displays the total hours App Users are logged in to the Sanas app within your account or selected group.

      Engaged Hours

      Presents the total hours App Users are logged in and actively using Sanas products.

      Not Engaged Hours

      Indicates the total hours App Users are logged in but not using any Sanas products.

      Note: Click the Metric Cards to display data at a user level, similar to when selecting Get Reports tab.

    2. Hours Over Time

      A graphical display of trends between Logged-In Hours and Engaged Hours over a selected time period. It can show data for up to the last 24 months.

    3. Engaged Hours by Group

      A graphical comparison of Sanas product usage in an hourly manner across groups within an account.

Note! The remaining tabs—Accent Translation, Noise Cancellation, Language Translation, and Speech Enhancement— contain similar metric cards and graphs, with analytics focused on engagements on each product.


Get Reports

Clicking the Get Reports tab showcases engagement activity on a user level and includes the data points:

Report Parameter

Description

User ID & Name

The user's unique identifier and name.

Status

The user's Provisioned Status for the selected time period.

Date

The date when the activity was recorded.

Group

The user’s group in the account.

Logged-In Duration

Total time between the recorded login and logout timestamps.

Enabled Duration

The total duration for which a subscribed product was enabled in the Sanas App. This reflects enablement time and may differ from actual usage.

Engaged Duration

Total time Sanas was enabled and the microphone was engaged. This is the actual duration when Sanas was actively processing the user's speech.

Schedule

When you select the Get Reports tab, where user activity is displayed, the button is replaced by a Schedule tab, where Portal Admins can:

  • Schedule a New Report

  • View All Scheduled Reports

Speech Intelligence

The Speech Intelligence (SI) interactive page is the administrative console for Sanas Speech Intelligence in the Sanas Portal. It provides administrators and compliance teams with a centralized view of call analytics, live tracking, call history, and compliance alerts.

The Speech Intelligence page in the Sanas Portal includes the following sections:

  • Dashboard — Provides a consolidated overview of Sanas utilization, call activity, and key performance metrics.

  • Live Tracking — Displays all Sanas App users who are currently on active calls, providing real-time visibility into live transcripts with automatic PII redaction, compliance alerts, and ongoing call activity.

  • Call History — Displays a historical log of calls from all Sanas App users, with access to individual call details, AI-generated insights, and transcripts with automatically redacted personally identifiable information (PII).

  • Compliance Alerts — Shows real-time compliance alerts generated across active and completed calls.


Dashboard

The Dashboard section provides a consolidated view of Speech Intelligence insights, including Sanas utilization, call activity, and alerts and performance metrics, for an entire account or a selected group, and can be filtered down to an individual Sanas App user within a specified time range.

Metric

Description

Total Calls

Total number of calls made by the Sanas App users in the selected time period.

Average Conversation

Average call duration across all calls in the selected time period.

Sanas Utilization

The total duration Sanas was active relative to the overall calling duration.

Unique Engaged Users

The count or number of users that utilized Sanas products during a call.

Total Alerts

Total number of compliance alerts detected across all calls in the account or selected group.

Alert Breakdown

A counter of actions taken by administrators and compliance teams in response to detected compliance alerts.

  • Pending — No action has been taken yet.

  • Acknowledged — The alert has been reviewed by the account management or compliance team.

  • Flagged — The alert has been reviewed and may require further action by the account management or compliance team, such as coaching the agent or implementing other appropriate corrective measures.

  • Dismissed — The alert has been reviewed and determined to be invalid, or no further action is required.

Conversation Time Split

Average user vs. customer talk time. The breakdown is:

  • User — Percentage (%) of call time during which the Sanas App user is speaking.

  • Customer — Percentage (%) of call time during which the call recipient is speaking.

Alert Types

A list of compliance alerts by alert type, including the total count and percentage (%) of each type. The list varies depending on client needs or preferences.

Average Call Count

A graphical representation of the average number of calls per hour.

Average Conversation Duration

A graphical representation of the average conversation duration per hour, displayed in minutes and seconds.


Live Tracking

The Live Tracking section provides real-time monitoring of active calls through live transcripts (as indicated by a green dot), with PII automatically redacted before being displayed to admins. It also shows agent details, the call duration, last utterance, overall call sentiment using emojis, and a running alert count as potential compliance issues are detected.

As soon as a call starts and Speech Intelligence is leveraged, a tile appears in the Live Tracking section, showing the following components:

Tile Component

Description

Name

Agent or App User name.

User ID

Unique user identifier.

Group ID

Unique group identifier where the user belongs to.

Call Sentiment Phasing

A dynamic indicator that displays the call's overall mood as it progresses using up to five emojis, allowing admins to quickly assess the call's sentiment without opening the live transcript.

Live Transcript

A real-time text transcript of the conversation between the agent and customer that updates as the call progresses, with PII automatically redacted before being displayed to protect sensitive information.

Active Call Timer

Displays the elapsed duration of an ongoing call in real time

Last Utterance

Indicates when the most recent transcript segment was received for the call.

Alert Count

Shows the number of detected compliance alerts as the call progresses.

When a call ends, a status message appears at the bottom of the corresponding agent or user tile to notify admins and the compliance team that the call has concluded or been terminated, and that its analytics are now available for review in the portal.


Call History

The Call History section displays a historical call log of all Sanas App users. Each entry in the Call History table includes:

Auto-generated unique identifier for each call session.

Date & time

Timestamp when the call was initiated.

Duration

Total duration of the call.

Alerts

Number of compliance alerts detected during the call.

User ID

Unique identifier of the Sanas App user.

Name

Name of the Sanas App user.

Group

The group the user is assigned to.

Call Status

Current status of the call: Ongoing or Ended.

Analytics

Processing status of the call insights: In Progress or Completed.


Compliance Alerts

Organized into Statistics and Alerts, the Compliance Alerts section lists all compliance alerts in real-time (as indicated by a green live status dot) triggered across your group's calls during the selected time period.

  • Statistics

    Under the Statistics categorization, the tile components are as follows:

    Total Alerts

    Total count of alerts within your account or selected group.

    Alert Status

    Breakdown of the number of alerts by their actionable status.

    Total Calls Monitored

    Total number of calls automatically monitored within your account or selected group.

    Unique Calls Impacted

    Number of calls where compliance alerts are detected.

    Percentage of Calls with Alerts

    Average % rate of calls where compliance alerts are detected.

    The lower part of the Statistics section provides a detailed breakdown of alert analytics, organized into two views: Time Breakdown and User Breakdown.

    • Time Breakdown displays alert data by date, including the total number of alerts detected each day. Additional columns represent different types of compliance alerts defined by your organization, with counts displayed only for alert types triggered on a corresponding date.

    • User Breakdown displays alert data by agent or user within the selected account or group, including the total number of alerts detected across their calls. Additional columns represent your organization's defined compliance alerts, with counts displayed only for the alert types triggered for each agent or user.

    Note: These breakdowns are downloadable for reporting and analytics purposes.

  • Alerts

    Under the Alerts categorization, the tile components and table columns are as follows:

    Description

    Total Alerts

    Total count of detected alerts within your account or selected group.

    Alert Status Tiles

    These are dynamic tiles that will only appear if alerts are tagged into them - Pending, Acknowledged, Flagged, and Dismissed.

    Alert ID

    Auto-generated unique identifier for the compliance alert.

    Call ID

    Unique identifier for the associated call session.

    Alert Type

    Category of the compliance alert.

    User ID

    Unique identifier of the Sanas App user.

    Group

    User’s assigned group name.

    Call Status

    Current status of the call: In Progress or Ended.

    Alert Status

    Current status of the alert: Pending, Flagged, Acknowledged, or Dismissed.

    Date & time

    Timestamp when the alert was triggered.

    A single call can generate multiple Alert IDs. All alerts remain in Pending status until an admin actions them. This data can also be downloaded for reporting and analytics purposes.

Get Sanas

The Get Sanas page gives you access to the latest version of the Sanas desktop application installer.

  • Platforms: Select your preferred platform to download the Sanas App installer - Windows or macOS.

  • Installer ID: A unique string linked to the Sanas account. Copy the Installer ID and paste it during App installation. The Installer ID is required for the Auto-activation and SSO authentication modes — it allows Sanas to preconfigure the user's application before they sign in.

Settings

The Settings page lets you manage Sanas product access and configure the application experience for the selected group.


Feature Management

Enable or disable Sanas products — Accent Translation, Speech Enhancement, Language Translation, Speech Intelligence and their corresponding features with a simple toggle. Once a Sanas product access is enabled for a group, all users in that group can access it.

Important Note: This section is typically accessible to Sanas Admins only.


Configuration

Fine-tune how the Sanas App behaves for users in the selected group. Configuration options include selecting which AI models are used, setting the default target accent or language, controlling inbound and outbound noise-cancellation levels, and toggling UI elements visible to end users, among others.

  • Lock Configuration

    Enforce specific product or feature configurations across the organization. When you lock a configuration at a parent group or account level, subgroup admins cannot override or modify it — ensuring consistency across your deployment.

    Example above: If Sanas Personalization is enabled and locked for a parent group or account, all subgroups inherit access to the feature, and subgroup admins cannot disable it at their level.


Sanas Help Widget

Did you know? Navigating the Sanas Portal is just a widget away! Look for the circular floating icon with the Sanas logo, usually located in the lower-right corner of the page. You can also move the widget anywhere on the screen for easier access.

  1. Click the Sanas Help Widget.

  2. A pop up window will appear.

  3. From here, the widget can help you with the following:

    1. Direct Link to Sanas ticketing system.

    2. Onboard Portal Admins on the common processes, such as creating groups, users, etc.

    3. Provide Help Center articles related to user management, feature and configuration guides, Sanas app how-tos, and more!
