Introduction
User & Access Management controls who can use Sanas and what they can do—from agents using the Sanas application during calls to administrators managing settings in the Sanas Portal.
It is built around four building blocks:
Groups
App Users
Portal Users
Roles & Permissions
Together, these components let you organize users to match your organization's structure, control access to Sanas products and features at every level, and delegate administrative responsibilities across teams and regions.
How It Fits Together?

Note: Portal Users (admins), assigned a Role and a scope (Account or Group), manage the structure above via the Portal.
Sanas Portal Building Blocks | Description |
|---|---|
Groups | Gives you the organizational hierarchy — the "where." |
App Users | Placed into groups, which determines their product access and app configuration. |
Portal Users | Administrators who manage groups, app users, and each other. |
Roles & Permissions | Defines what each Portal User can see and do, and at what scope. |
The Four Building Blocks
Groups
Groups are organizational units that structure your account by team, location, function, or any hierarchy you choose. Every account starts with a system-generated Default Group, and you can create nested groups to unlimited depth. Groups control product access and configurations for all users within them.
Note: See Team & Group Management for more details.
App Users
App Users are the people who use the Sanas desktop application, typically agents handling calls. They authenticate using the authentication mode configured for their group (UAK, Auto-Activation, Email-Passcode, or SSO), and their group membership determines which Sanas products and features they can access. App Users cannot access the Sanas Portal.
Note: See Manage App Users for more details.
Portal Users
Portal Users are administrators who manage your Sanas account through the Portal. They can configure groups, add or move App Users, and invite other administrators. Every account has at least one Account Admin, and additional Portal Users can be invited with access scoped to the entire account or to specific groups.
Note: See Manage Portal Users for more details.
Roles & Permissions
Roles and permissions determine what a Portal User can access and manage, including Application Users, Portal Users & Access, Groups, Group Settings, and Account Settings. Each permission can be set to Full Access, View Only, or None.
Sanas provides two default roles—Account Admin and Group Admin—and allows you to create custom roles to meet your organization's needs. A role's scope (Account-level or Group-level) determines which part of the organizational hierarchy it applies to.
Note: See Manage Roles & Permissions for more details.
